Moving Lead Groups

Moving leads between groups is complex because different lead groups have different additional fields with varying validation and types. The process involves up to 6 steps.

Note: If you don't need to move the activity, skip steps 2, 4, and 5.

Step 1: Exporting the Lead Data

Use Search Leads to locate the leads you need to export
Export leads to CSV using the Export button at the bottom of the page

Step 2: Exporting the Activity Data

Use Search Leads to locate the leads
Export Lead Activity to CSV
Make a copy of the file and work on the copy as backup

Step 3: Importing the Lead Data

Change the Lead Group (and Lead Type if necessary) in the CSV to the target group
Save the new Lead IDs shown after import - you'll need them if importing activity
Alternative: Place new IDs in an unused column (e.g., Introducer reference or Marketing Term) before importing
Recommended: Create a new lead type called Imported Leads in the target group to easily identify and locate imported leads
Import using Tools > Import

Step 4: Updating the Activity Data

Update Lead IDs in the Activity CSV to match the new imported lead IDs:

Option 1: Manually type or copy/paste new Lead IDs from the import results
Recommended Option 2: Use VLOOKUP for accuracy and speed:
- Export the new lead data (or use the file with IDs you added before import)
- Copy the data to a new sheet in the same workbook as your activity data
- Ensure old references are in the first column
- Format telephone number field as number with no decimal places
- Add a column for new references in the activity sheet
- Enter VLOOKUP formula: =VLOOKUP(B2,Leads_Import!A:B,2,FALSE)
- Copy the formula down to all records
- Verify correct cell references (B2, B3, B4, etc.)

Step 5: Importing the Activity Data

Import activity using Tools > Import Activity from the left menu

Step 6: Check Records Before Deleting

Select a few leads to verify old lead activity matches new lead activity
Once verified, delete leads from the old group
Search for the leads using the same method as export
Delete using Bulk Actions
