Searching Leads

Leads > Search Leads lets you search for lists of leads. You can then access, print, export, or perform bulk actions on them - and save a search to reuse later.

Search Filters

Add any of the following filters to your search:

  • Group & Type - Search within a Lead Group and, if needed, a Lead Type within that group.
  • Status - Search leads in a specific status, or by progress point: All New, All Validated, All Invalidated, All Contacted, All Qualified, All Converted, All Closed.
  • Assigned User - Search unassigned leads, or those assigned to a user group or a specific user.
  • Introducer - Filter by leads assigned to an Introducer, or those with No Introducer.
  • Referral Partner - Filter by leads assigned to a Referral Partner, or those with No Referral.
  • Associated Site - Filter by Site.

Combined status points:

  • All Open - New, Validated, Contacted, Qualified and Converted (anything not closed or invalid).
  • All Closed - Any status set to the Closed conversion point.
  • All Invalidated - Any status set to the Invalidated conversion point.
  • All Open/Closed - Any status set to Open or Closed (everything except invalidated).
  • Closed/Invalidated - Any status set to Closed or Invalidated.

Note: Custom statuses for different lead groups can only be selected once the lead group is chosen. To view your statuses and conversion points, go to Settings > Lead Groups > Statuses.

Adding Filters

  • Click Add Filter at the bottom of the filter options, then Apply Filter once you have entered the details.
  • Add more filters by clicking Add Filter again.
  • Enter dates in the format dd/mm/yyyy.
  • Choose how the field matches: equal to, not equal to, contains the value, does not contain the value, greater than, greater than or equal to, less than or equal to, is empty, is not empty.

Note: Custom fields for different lead groups can only be selected once the lead group is chosen.

Options

Click Options at the bottom of your search to also search using:

  • Referral Date - Uses the date the lead was referred to a partner instead of the date it was created.
  • Sub Leads - For leads referred to more than one partner, a sub lead is created.
  • Most Recent Linked Lead Only - When de-duplication links duplicate leads, this searches only the newest.

Print Search Results

  • Use the print option towards the bottom of the list of leads.

Search Defaults

Configure defaults at Settings > Configuration > Preferences (under Defaults):

  • Date Range - Set the default to any predefined option in the drop-down.
  • Number of Results - Set leads shown per page to 10, 25, 50, 100 or 1000.
  • Summary Information - Choose what summary information shows on the search screen (e.g. Reference, Date, Status, Postcode).

Understanding Search Results

  • Workflow and Task/Event labels show when a lead has an active workflow and/or a Task/Event.
  • Click the lead ID to open a pop-up with more details and the full date/time received.
  • The + icon opens the lead summary quick view, where you can send an email or create a task without leaving the search screen.
  • Click the view record icon to go to the lead summary.
  • Sub leads appear under their parent lead (if included), identified by a hyphenated ID such as 1000000-1000 (lead ID 1000000, sub lead ID 1000).
  • Click column headers to sort results by that header.
