Capturing Leads Using Zapier's Email Parser

If your email sender can't meet the required format for Receive Leads by Email, a third-party mail parser is a good alternative. This guide covers setting one up using Zapier.

Important: This guide covers everything we can offer on the Zapier email parser setup. We do not support external services and cannot provide guidance beyond what is included here.

Step 1 - Sign Up to Zapier

  • Sign up at Zapier if you don't already have an account.
  • Once signed in, click Make A Zap! near the top of the page.

Step 2 - Choose a Trigger and Action

  • Trigger App: Email Parser by Zapier - set trigger to New Email.
  • Action App: Webhooks by Zapier - set action to POST.

Step 3 - Set Up the Mail Parser

  • Go to https://parser.zapier.com/ and create an account if you don't have one.
  • You'll be given a mailbox address - send a sample email to it.

Step 4 - Create Your Parsing Template

  • Once the sample email is received, highlight the data you want to extract.
  • Give each piece of data a clear name and save it.
  • The highlighted content will be replaced with the name you assigned.
  • Repeat for all fields you want to extract, then save the template.

Step 5 - Select Your Mailbox in Zapier

  • In Zapier Step 2, select your mail parser account.
  • Press Continue through Step 3.
  • In Step 4, select your newly created mailbox from the dropdown.

Step 8 - Test the Zap

  • Once all fields are mapped, skip any remaining optional steps and press Continue.
  • Run the test, then click Turn Zap On.

Step 9 - Set Up Auto Forwarding

  • Set up auto-forwarding in your mail service so emails are sent to Zapier automatically.
  • Forward emails to your Zapier mailbox address - or send them there directly.
  • Contact your mail provider or search online if you're unsure how to set up forwarding.
Note: If you use a client like Outlook, forwarding set up within the client only works while the client is open and running. For reliable forwarding regardless of whether the client is active, ask your mail administrator to set up forwarding at server level.
